Job brief

We’re looking for a proactive and highly organized Executive Assistant to support our expanding FinTech company. In this role, you’ll work closely with the founders, helping them reclaim their time so they can focus on the most strategic aspects of the business.

The Executive Administrator provides high‑level administrative, operational, and organisational support to senior leadership across Ray Hill International. This role ensures smooth day‑to‑day operations, manages executive schedules, coordinates cross‑border communication, and supports strategic initiatives. The ideal candidate is detail‑oriented, proactive, and able to manage multiple priorities in a fast‑paced, international environment.​

Key Responsibilities

  • Manage executive calendars, appointments, and scheduling across multiple time zones

  • Coordinate internal and external meetings, including agendas, minutes, and follow‑ups

  • Prepare reports, presentations, and documentation for leadership and client meetings

  • Support operational workflows, project coordination, and administrative processes

  • Handle confidential information with discretion and professionalism

  • Manage email correspondence, task prioritisation, and communication on behalf of executives

  • Assist with travel planning, itineraries, and logistics

  • Maintain organised digital filing systems and documentation

  • Support onboarding, HR coordination, and internal communication activities

  • Liaise with cross‑border teams (UK, US, Canada, Caribbean) to ensure smooth operations

  • Track deadlines, deliverables, and project milestones

  • Assist with procurement, vendor coordination, and office administration (where applicable)


Requirements

Required Skills & Qualifications

  • 2–5 years of administrative or executive support experience

  • Strong organisational and multitasking abilities

  • Excellent written and verbal communication skills

  • Proficiency with productivity tools (Microsoft 365, Google Workspace, Zoho apps)

  • Ability to work independently and manage competing priorities

  • High level of professionalism, confidentiality, and attention to detail

  • Experience supporting senior leadership or C‑suite (preferred)

  • Familiarity with project coordination or operations support (advantageous)

Benefits

Salary Range (UK – Executive Administrator)

  • London: £32,000 – £45,000 per year

  • UK Regions: £28,000 – £38,000 per year

  • Contract/Associate: £20 – £30 per hour
